Visa & Invitation Letter

Obtaining a visa, if required, is the participant's responsibility. Visa requirements vary based on your nationality and country of origin. We recommend consulting your local Danish Embassy for official guidance on the visa regulations and application processes that apply to you.

A personalised official invitation letter will be provided to registered participants as part of the registration process. Once your registration is confirmed, you will receive a confirmation email with a link to download your invitation letter. Please note that this invitation is intended solely for visa application purposes and does not imply any financial support or guarantee of participation in the scientific program by the organisers.

For abstract submitters with approved abstracts and confirmed conference registration, a separate invitation letter that includes the details of the approved abstracts can be provided upon request. Please send your request to secretariat@ineip.org.

EthicalMedTech & E4ETHICS

Once the conference programme is finalised, the 18th Excellence in Pediatrics Conference will apply for review and approval as compliant with the MedTech Europe Code of Ethical Business Practice and the EFPIA Code of Practice. EthicalMedTech is a platform supported by MedTech Europe, dedicated to advancing ethics and compliance initiatives within the MedTech industry. e4ethics is a platform designed by the European Federation of Pharmaceuticals Industries and Associations (EFPIA), dedicated to the provisions of the EFPIA Code of Practice. Since 1 January 2021, the two trade associations, MedTech Europe and EFPIA, have had a unique and common platform for assessing Third-Party Organised Educational Events (TPOEs) – Conference Vetting System (CVS). Further details are available HERE.

Promotion Opportunities

EIP values its collaborations with organisations dedicated to enhancing the lives of children and families in line with our ethical standards. We seek partners who can directly contribute to child health, medical care, and pediatric education. Our community, comprising over 45,000 healthcare professionals worldwide, offers a unique opportunity for your organisation to engage with leading academics and practitioners at our annual conference. The Excellence in Pediatrics conference provides numerous avenues for meaningful interactions with delegates and supporters, making it an ideal platform for connecting with top professionals in child and adolescent care. Opportunities for involvement include:

Unrestricted Educational Grant

  • Purpose: This grant supports specific tracks or sessions within the scientific program, targeting a global audience of delegates and pediatricians.
  • Nature of Support: Funding is provided as an unrestricted grant.
  • Role of Sponsors: Sponsors do not select topics or speakers or influence the content.
  • Disclosure: All support is acknowledged to participants. Supporters must comply with all relevant regulations related to promoting and marketing medicines and medical technologies.
  • Accessibility: Supported sessions are live-streamed, with free online registration available to healthcare professionals.
  • Reach: Recorded sessions are aimed at conference delegates and made available as free webcasts to the EIP community of 45,000 professionals.
  • Content Development: The scientific committee independently oversees the selection of topics and speakers.
  • Acknowledgement: Supporters are acknowledged on the conference website, mobile app, and pages for the broadcasted sessions.

Plenary Satellite Symposium (Non-CME)

  • Purpose: This initiative allows industry supporters to host an Official Industry Symposium in a Plenary Hall, focusing on a topic of their choice, subject to approval by the Conference Organizing Committee.
  • Nature of Support: The symposium will be featured in the program's Supporters section and will last 60 to 90 minutes. Note that these symposiums do not qualify for CME/CPD credits.

Advertisement on EIP’s Attendee Hub

The EIP Attendee Hub is the primary online platform for virtual participants to view and engage in all conference sessions live. It also enables all attendees, including those attending in person, to access session recordings on demand for 90 days after the conference.

As a sponsor, your banner will be prominently displayed on:

  • The front page of the Attendee Hub
  • The programme page
  • The abstract library

This ensures high visibility among both in-person and virtual delegates over an extended period. The vast majority of attendees access the hub multiple times during the 90-day post-conference period, maximising sponsor exposure well beyond the event dates.

Advertisement on the EIP Mobile App

This sponsorship opportunity includes a banner placement on the main screen of the EIP Mobile App. The app is widely used by on-site delegates to:

  • View the programme
  • Complete session feedback surveys
  • Submit questions to speakers

In addition, all attendees can use the app to watch live sessions and access on-demand content. This option offers excellent visibility during the conference and a continued presence after the event, as the app remains active for post-conference content access.

In line with EIP’s commitment to environmental sustainability, printed materials are kept to a minimum. The only printed item provided is a concise Programme-at-a-Glance, distributed to all delegates at badge collection.

We offer sponsors the opportunity to place a full-page advertisement on the back cover of this programme, ensuring guaranteed visibility to every attendee throughout the conference.

For further information and costs, please email us at secretariat@ineip.org.

Sustainability

Recognising the environmental impact of printed materials, the EIP conference has adopted eco-friendly practices to conserve resources and protect our planet. As a result, no printed materials will be provided at the EIP conference. All key resources will be available digitally:

  • The Book of Abstracts will be accessible online for viewing and downloading.
  • The Conference Program, detailing topics, speakers, and educational objectives, can be accessed via the EIP Conference Mobile App, website, and Attendee Hub.
  • A concise At-A-Glance program PDF will be available online for all delegates.
  • Session evaluations and other forms will be accessible through the Mobile App and Attendee Hub.
  • Presentation certificates, CME credits, event invitations, and updates will be sent electronically to delegates.
